“Day Of” Coordination:

You’ve planned the entire day, shared all the details and suddenly realize you need an industry professional to execute your already-made plans because YOU are getting married.

COMMUNICATING WITH VENDORS, BRIDAL PARTY & FAMILY

  • Serves as primary point of contact for ALL vendors; questions or concerns are fielded to the coordinator and diverted away from the couple and their families
  • Serves as the Manager on Duty, overseeing that work & services are done according to what was signed in the contracts
  • Manages Ceremony Rehearsal prior to the Big Day
  • Confirms final details with vendors prior to the big day
  • Generates contact information sheet with all vendor and bridal party information
  • Greets vendors, bridal party & immediate family and instruct them as to where they need to be
  • Gathers bride & groom, bridal party and immediate family for photos; wrangles any missing members for specific photos
  • Distributes gratuities/final payments to vendors at the end of the evening

HANDLING LOGISTICS

  • Ensures EVERYTHING is pulled off seamlessly in real time
  • Assumes responsibility for making sure the vision and theme are executed properly
  • Look over dining tables and make sure they are set up according to the floor plan
  • Place programs, light candles, ensure ceremony ritual items are present
  • Set-up guest book, gift table & favor table
  • Set-up cake table with champagne flutes & cake cutting utensils
  • Set-up table numbers/names and escort cards
  • Set-up toiletry baskets, hand towels, candles, etc. in bathrooms
  • Collaborates with wedding officiant to choreograph ceremony, processional and recessional
  • Confirm all food service timelines with catering staff
  • Packs up gifts/cards, miscellaneous ceremony and reception items, any personal décor that was provided by the couple and have it ready to be removed by family or friends at the end of the evening

CREATING & STICKING TO TIMELINES

  • Meets the couple 4 -6 weeks before the big day to go over client provided timeline and suggests edits as necessary
  • Reviews contracts/arrangements the couple have previously made with vendors, and provide recommendations if necessary
  • Provides each vendor a copy of the final timeline and provides directions to the ceremony and reception locations along with parking instructions
  • Provides wedding timeline to bridal party members & immediate family
  • Ensures on-time arrival of hair and make-up stylists
  • Collaborates on hair and make-up schedule with bridal party and stylists to ensure timeliness for arrival of photographers/videographers
  • Ensures bridal party floral arrives on time
  • Ensures photographer arrives on time and has a copy of the “shot list”
  • Cues band/DJ, Photographer/Videographer, when bride and groom are ready to be introduced
  • Cues band/DJ, photographer/videographer when important events are about to take place at the reception i.e. first dance, cake cutting, toasts and parent dance
  • Cues designated bridal party, family, friends when toasts are about to start
  • Cues catering staff to pour champagne just before the toasts

PROBLEM SOLVING

  • Prevents & Responds to any issues with vendors, guests or staffing
  • Remains on site until family has departed the venue at the end of the evening
